Management systems & the IMS Pulse platform

IMS PULSE / SECURITY & DATA CONTROLS

Your business records.
Access you control.

IMS Pulse supports the responsibilities behind your management system: protecting sensitive records, controlling changes and keeping people accountable. Put practical access and approval controls to work across your organisation.

Built into the workflow

Protection where the work happens.

Set access deliberately, review your team regularly and use the controls appropriate to each record.

Workspace and role boundaries

Workspace records are scoped to your organisation's workspace. Module permissions and document access rules determine what a member can read or change. Administrative access is a separate responsibility.

Document protection and traceability

Saved revisions preserve document history. Restrict sensitive documents and folders, use expiring read-only guest links, and apply password protection to supported formats. Sharing and downloads remain subject to access checks.

AI under your control

Workspace administrators choose whether to enable AI answers. IMS Pulse Auto checks source permissions, excludes password-protected and AI-excluded documents, and presents supported changes for confirmation before saving. When enabled, the IMS Pulse AI service processes selected workspace context under your workspace privacy settings.

Protected sign-in and device sessions

Passwords are hashed. Mobile access tokens expire and can be revoked. Changing a password invalidates the associated mobile token authority; derived app editor sessions also check the originating owner's access.

Verified checkout

Payment details are entered at PayFast checkout. IMS Pulse verifies payment notifications, expected amounts and duplicate payment identifiers before activating the corresponding subscription or AI token purchase.

Human review of important decisions

Document workflows, corrective-action verification and AI previews help your team review changes before relying on them. AI answers should be checked against their linked sources, especially for safety and compliance decisions.

How are security controls checked?

Our internal security review checks workspace permissions, AI source access, documents, sign-in and payment verification. Automated regression tests exercise access restrictions and permission changes, alongside normal workflows. These engineering checks are not an independent penetration test or ISO 27001 certification. Supporting a management standard does not certify the software or your business.

How does the IMS Pulse AI service process information?

The IMS Pulse AI service uses third-party AI providers to generate answers and drafts from selected context. Workspace administrators control enablement, and source permissions and document exclusions govern what the service may use.

What should our administrators do?

Give people only the access they need, remove access when responsibilities change, review sharing links and decide which documents may be used by AI. Use strong, unique passwords and protect devices holding offline copies.

Can we discuss our security requirements before buying?

Yes. Ask IMS South Africa about your access requirements, sensitive records and deployment needs during a demo. Hosting, backups and recovery arrangements should be confirmed for your deployment.
